Trofholz’ s has an opportunity for a Program Coordinator (PC) that wants to grow and impact both company revenue and culture. The PC is responsible for creating and maintaining project information relating to contractual requirements and cost for submittal to the Program/Project Manager for review and approval. The PC’s responsibilities also consist of providing customer service and administrative assistance to the Operations department. This includes, but is not limited to, setting up or modifying the project billing information in accordance with contracts, transferring WIP between tasks, invoicing and closing project tasks .
Roles and Responsibilities:
- Primary point of support for Program/Program Manager in tracking the progress of activities/milestones of assigned Projects
- Facilitate internal project kick off meetings
- Captures minutes and actions for relevant program/project meetings
- Follows up with action owners to close out action items and ensures deadlines are met
- Produces regular and ad hoc reporting in the form of required dashboard reports, as per requirements (Impact/Priority, Key Leadership updates, etc.) as directed by Program or Project Manager
- Prepare customer submittals – preparation, assist in review process and submission
- Compiles project status reports, coordinates project schedules, project meetings, identifies and resolves problems in coordination with the Program or Project Manager
- Ensures all project phases are documented appropriately
- Ensures accuracy of customer service plan and milestones
- Assist in creation and maintenance of project budget and forecast
- Track delivery of materials and provide information to appropriate parties
- Provide specific delivery estimates to Project Managers and field technicians as required
- Assist in meeting objectives, as delegated by the Program Manager and Project Managers to complete all requirements as outlined in each job and Statement of Work
- Act as communications hub between operations team and contract/finance/admin support staff by appropriately disseminating information
- Daily communication with outside vendors in an effort to meet or exceed delivery performance
- Maintain Operations Drive on the server and Ops site on SharePoint
- Prepare and maintain Project Procurement Plans
- Track billings and assist in the creation of billing milestone documents
- Create sign-off documents which will allow TTI to bill for work completed
- Track and assist in close-out process for projects, warranty information and historical data
- Verify PO lines against contract CLIN’s and ensure they are within project budget
- Vet new vendors/subcontractors process paperwork, issue agreements
- Flexibility to work in a number of different systems as required by the Government for submission of documentation
- Other duties as assigned
Requirements:
- 4 years of administrative support experience and functions
- 3 years of previous project coordination experience and functions
- Knowledge of invoice formats and requirements for documentation for expense reimbursements, purchasing and procurement policies and procedures
- Previous hands-on experience working in a project team environment and knowledge of project implementation
- Proficient in PC applications (MS Office Suite), advanced MS Excel experience required; proficient in MS Project required
- Effective written and verbal communication skills
- Strong technical background
- Strong analytical and problem solving
- Excellent planning skills and presentation skills
- Ability to read, write and speak English
Education/Certification:
- Associate’s Degree or equivalent combination of education and experience
Preferred:
- Previous experience working with federal government agencies
- Previous general construction experience a plus
